What is "Copy"?

Why are we doing this on a Notepad text document?

Can I just type my copy into email messages and send them to you?

The following guide is divided into three parts.

  • Part 1: How to view your pictures and type in Notepad at the same time, and save the document you create.
  • Part 2: (Optional) Creating a New Folder for your Website Related Documents.
  • Part 3: Attaching the Notepad/Wordpad Document to your Hotmail or other email client (program).

We suggest you read all the way through this Guide before you try it on your computer. Some of the steps are optional or merely informational, but are included to help you learn your way around your computer. You more advanced users can yawn and move to the next step.

Learning this is easier if you remember to regard writing and saving your document, and attaching the file to an email (also called 'emailing a file'), as two separate functions.

  • The middle section on 'Creating a New Folder' is included to help you organize your web documents into a single folder for your own ease of use, but is not a necessary part of sending the file (in this case, a document) via email.

Remember a 'file' can be anything -- picture, sound clip, document, movie, etc. Any file can be emailed, and once you learn to do it, you will probably do it a lot for fun and business.

Part One: How to display your picture window and the Notepad window together on your screen.

Where are my pictures?

Step One. Open Notepad or Wordpad by clicking Start>Programs>Accessories>Wordpad. The example we will show you is using Wordpad but either program is fine.

Below shows Wordpad open on your desktop.

For ease of reference we will call this window "Notepad" in this guide.

Open Wordpad and position the window on your Desktop

Move the Notepad window to the right side of your screen.

How do you do that?

Step 2. Locate the folder with your web pictures as described at the beginning of this Guide under "Part One", open it and move/resize it using the same method as described for the Notepad window.

This new window is called the Explorer window.

What the heck is an Explorer window? I thought it was your web browser.

Open the folder that contains your pictures

Step 3 -- (Optional but helpful) Change the View to "Folders" by clicking View>Explorer Bar>Folders. The picture below has an inset showing a closeup of the Menu toolbar doing just that.

Do this on your computer just as shown below. Why we are doing this is explained in Step 4.

  • "Thumbnails" means small representations of the real pictures.
  • As you see in the picture above and also in the inset picture below, View>Thumbnails is selected: Seeing the thumbnail pictures means you don't have to keep opening each picture file in order to see what it is, and generally it's easier to write about a picture if you can see it.
  • If you have very descriptive names to your pictures, and a very good idea or notes of what to say about them, you can skip this step.

Changing the Explorer window to Folders View

Step 4 -- Now that we are in Folder view, hover your cursor over the content pane's center bar until it turns into a two-headed arrow, and move the center bar to the left, the same way as you resized the Notepad window in the first step.

Step 5 -- Now we have both windows but they are covering each other up a little. So separate them: Move and resize the Explorer window until it is side by side with the WordPad window, as you see below.

Notice also the center divider in the Explorer window is moved over almost all the way to the left, and we can see more of the thumbnails.

Now you can see your pictures, and type the copy you wish to appear on the web page, into the Wordpad window. Type the name of the picture as you see it, then your copy.

How do I know which window I'm typing in? or, How come when I Type, nothing happens?

What do I say about each picture to gain maximum customer impact and search engine exposure?

Do I have to use the exact file names of the pictures?

When you write your copy, Feel free to make comments or leave instructions, such as "Bold", "Larger type" or "Large Bold Red Page Headline". Use brackets { } to separate the instructions if you feel it would be helpful.

Check Your Spelling. Sloppy spelling, punctuation and grammar detracts from the professional image you are seeking to project. There are free online dictionaries for your convenience such as yourDictionary.com, or we can provide you with a shareware dictionary computer program (just ask).

Tip: If you are online, go to google.com and type define:word with 'word' being the word you are enquiring about, in the search window to find out what a word means. Google will also suggest the correct spelling if you have spelled it wrong. ;-)
